Harnessing SAP Signavio for HR Transformations: A game-changing tool for process design

Effective process design enables organisations to streamline repetitive tasks through automation, foster consistency and compliance across regions. It can also enhance employee engagement by reducing administrative burden and align HR strategies with broader business objectives.

Varying regulations, cultural nuances, and unique organisational requirements, however, can make process design challenging and complex.

SAP Signavio modelling capabilities

Strada recently partnered with a multinational fashion retailer to transform their HR and payroll operations across 17 European countries. The company sought to simplify, digitalise, and standardise their processes to move away from fragmented solutions and create a unified approach.

Their program strategy was based, first and foremost, on getting the basics right. The design of their core HR and Payroll processes would serve as the foundation for broader changes, such as implementing SAP SuccessFactors Employee Central and outsourcing payroll operations to Strada as a single vendor.

Our first year of partnership was focused on assessing the organization’s existing HR Operating Model and designing their future model. We then designed and documented the organization’s new HR and Payroll processes, leveraging SAP Signavio process modelling capabilities.

Several key features were instrumental in effectively managing our client’s HR process design:

1. End-to-end visibility of HR and payroll processes

Lack of clarity around existing processes and the interdependencies of HR processes and subprocesses form one of the major challenges companies face during the transformation journey. SAP Signavio provided us with a holistic view, allowing us to map entire processes, such as recruitment, from end-to-end, with all related processes and subprocesses visible on the same platform.

This also allows for more robust performance analysis in the future, as our client’s HR leaders strive for continuous improvement.

2. Collaborative process modelling

Cross-departmental collaboration is essential to a smooth and successful HR transformation. SAP Signavio’s Process Manager allowed stakeholders to review, refine, and even co-create process models, before publishing them for final approval via the Collaboration Hub.

This ensured that redesigned HR processes were practical, compliant, and tailored to our client’s specific needs.

3. Connecting process framework to detailed process documentation

Managing the multiple levels of process design and documentation, from process framework and hierarchy to process models, is one of the most complex aspects of an HR transformation. Using SAP Signavio to automatically produce detailed process-related documentation such as Roles and Responsibilities Matrices, Process Checklists, IT Systems Matrices, and the final user Desktop Procedures simplified this task significantly.

4. Integration with broader SAP Ecosystem

Integration is, of course, fundamental to any transformation. SAP Signavio software has been designed to seamlessly integrate with the broader SAP ecosystem, to enable real-time data sharing and process execution. This will ensure our client’s redesigned process models are not only well-documented but can be directly implemented in SAP SuccessFactors Employee Central, providing them with improved consistency and a reduction in the time-to-value.
